MICCAI 2023: Call for Workshops

The 2023 MICCAI conference will be held in Vancouver Canada. The conference will host a variety of satellite events including workshops, challenges, and tutorials. Workshops have become essential components of MICCAI conferences, particularly as the field has undergone steady growth and has expanded into a diverse set of areas. These events attract a large number of participants, offering opportunities to both the organizers and the attendees.
The workshops will take place on October 08th and October 12th 2023. All events will be located at the main conference venue. Each workshop may be organized as a half-day (8:00am-12:30pm, or 1:30pm-5:00pm) or a full-day (8:00am-5:00pm) meeting. As for workshop format, both fully in-person and hybrid (in-person + virtual) are allowed. For hybrid workshops, organizers must guarantee both physical and online organizational presence between the organizers to ensure both components run smoothly.
The deadline for submission of workshop proposals is 15 January 2023. Notifications of the first round of acceptance, revision, or rejection will be sent on 15 February 2023. In the case of a revision, applicants will be asked to revise their proposals and resubmit based on suggestions from the MICCAI Workshops committee, including merging of complementary or significantly overlapping proposals. The deadline for revised proposals is 20 February 2023. Final decisions on revised proposals will be 25 February 2023.
The proposals for all workshops must be submitted through the submission system (see the link far below in the Submission Details section) which has a structured set of questions. Applicants are encouraged to discuss inter-relationships with other workshops.
Proposals will be evaluated using several criteria, including the expected number of participants, the complementarity of the topics to be addressed, and their relevance to the conference. Workshop organizers are expected to articulate a plan detailing the management of all administrative aspects including:
- Construction of an independent website for their workshop.
- Management of advertising and promotion of the workshop.
- Management of the paper/result submission (where relevant).
- Organization of an evaluation process independently (in line with outlined procedures).
- Preparation of soft-copy proceedings as either an independent volume or a joint volume produced for a collection of events at MICCAI 2023 (where relevant, see below).
- Preparation of electronic (pdf) versions of papers and the program, and submission of these materials to the MICCAI 2023 Workshops Committee for distribution to registered participants.

Selection Criteria
Due to limited availability of rooms, and to ensure relevance to the conference, submitted workshop proposals will be evaluated and selected. Each section of the proposal form will be evaluated during the selection process. Examples of selection criteria are:
- Expected level of the MICCAI audience's interest in the topic of the workshop. Emergent subjects will be favorably considered. Workshops with very similar topics and aims will be asked to merge.
- Quality of the organization and the planned review process for the workshop.
- Feasibility, concreteness, balance, and solidity of the plan, schedule, and management of the workshop, including proceedings arrangement.
Please note that if the number of registered participants for an accepted workshop is less than 20, we reserve the right to cancel or merge it with other workshops.
Copyright
Authors will assign to the MICCAI Society the right to distribute the workshop material to MICCAI members and to workshop and conference attendees, independently of the copyright ownership planned by the workshop organizers. It is up to the workshop organizers to obtain corresponding agreement of the authors.
Proceedings
It is entirely up to workshop organizers whether and how to publish a proceedings volume of the presentations. At the very least, abstracts of all presentations should be made available. Accepted full papers may be disseminated independently (for example via arXiv) or in joint proceedings of MICCAI 2023 satellite events published by Springer Nature in their Lecture Notes in Computer Science (LNCS) series. In the latter case, notice that the publisher imposes limitations on the number of names that will be listed as the workshop organizers, especially for volumes with a small number of papers. The deadline for submitting the camera-ready LNCS proceedings materials (including the papers and copyright forms) is 30 July 2023.
Budget
Unfortunately, MICCAI 2023 cannot afford to cover travel arrangements or stipends for the organizers of workshops, nor provide concessions on registration fees.
The MICCAI 2023 Satellite Events Committee has limited funds for waiving the registration fees for exceptional speakers, including those from outside the MICCAI community. Organizers should send a request for registration fee waiver to [email protected] with justification for their request. Organizers and speakers who plan to attend only their own/participating workshop are still expected to register for the event unless registration fee waivers have been requested and granted.
